This privacy policy explains how Letter Jobs ("we", "our", or "us") collects, uses, shares, and protects your personal information when you use our platform at letterjobs.com (the "Service"). Letter Jobs is a marketplace that connects newsletter creators with employers for job ad placements.
We are committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR) 2003. Where we serve users in the European Economic Area, we also comply with the EU General Data Protection Regulation (EU GDPR).

2. Information we collect
2.1 Information you provide
We collect personal information that you voluntarily provide when you register for an account and use our Service. This may include:
- Account information (e.g. name, email address, password)
- Newsletter information (e.g. newsletter name, description, audience size, pricing)
- Company and job ad information (e.g. company name, job details)
- Images and media you upload to the platform
Passwords are stored securely in hashed form — we never store or have access to your plain-text password.
2.2 Information collected automatically
When you use our Service, we may automatically collect:
- Device and session data (e.g. IP address, browser type, access times)
- Usage data such as pages visited, features used, and interactions with the platform. Cookie-based analytics that store data on your device are used only with your consent (see section 7); we also use cookieless analytics that store nothing on your device
- Anonymised performance data related to job ad campaigns (e.g. click counts). This data does not contain any personal information about newsletter readers
2.3 Payment information
We use Stripe to process payments and payouts. All sensitive financial information (card numbers, bank account details, identity documents) is collected and processed directly by Stripe and never passes through our servers. We only receive limited transaction metadata (e.g. amounts, dates, statuses). See Stripe's Privacy Policy for details.

We process your personal information for the following purposes, each with a lawful basis under UK GDPR Article 6(1):

4. Who we share your information with
4.1 Between users
Newsletter information (e.g. name, description, audience size, and pricing) is shared with employers to facilitate matching. Job listing details are shared with newsletter creators when placement requests are made. Certain newsletter information is also displayed publicly on our platform.
4.2 Third-party service providers
We work with carefully selected third-party service providers who process data on our behalf. These include:
- Stripe: For payment processing and creator payouts. Stripe acts as an independent data controller for the payment information it collects directly from you
- Email service providers: For delivering transactional emails about your account and activity
- Mixpanel (analytics): Helps us understand how the platform is used. Cookie-based tracking that stores data on your device runs only with your consent; we also process server-side product analytics tied to your account under our legitimate interests
- Plausible (analytics): A privacy-friendly tool that uses no cookies, stores nothing on your device, and collects no personal data — so it requires no consent
- Cloud infrastructure providers: For hosting, content delivery, data storage, and server log monitoring
All service providers are bound by data processing agreements and are committed to protecting your information.
4.3 Other disclosures
- Legal requirements: We may disclose your information if required by law, regulation, legal process, or governmental request
- Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such change
We do not sell your personal information to third parties for marketing or any other purpose.
5. International data transfers
Letter Jobs is based in the United Kingdom. Your personal information may be transferred to and processed in countries outside the UK, including the United States, where some of our service providers operate.
These countries may not provide the same level of data protection as the UK. To protect your data during international transfers, we rely on:
- The UK Extension to the EU-US Data Privacy Framework, for US providers certified under the framework
- The UK International Data Transfer Agreement (IDTA) or the UK Addendum to EU Standard Contractual Clauses, where the Data Privacy Framework does not apply
6. Data retention
We retain your personal information for as long as necessary to provide the Service and fulfil the purposes described in this policy:
- Account and listing data: Retained for as long as your account is active, or until you request deletion
- Payment and order records: 6 years after the transaction, as required by UK tax and financial record-keeping obligations
- Campaign performance data: Retained for as long as needed to provide reporting to users
When data is no longer needed, we securely delete or anonymise it. We may also retain and use your information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.
7. Cookies and tracking technologies
We use cookies and similar technologies (including browser local storage) to operate the Service:
- Essential: a session cookie (via Better Auth) keeps you signed in, and a small record stores your cookie choice. These are strictly necessary, so they do not require your consent
- Analytics — Mixpanel: stores identifiers in your browser's local storage to help us understand how the platform is used. We load it only after you give consent through our cookie banner
- Analytics — Plausible: a privacy-friendly tool that uses no cookies, stores nothing on your device, and collects no personal data — so it requires no consent
Under the Privacy and Electronic Communications Regulations (PECR), storing or accessing information on your device for non-essential purposes requires your prior consent. Rejecting analytics cookies stops Mixpanel in your browser; it does not stop the server-side product analytics tied to your account, which we run under our legitimate interests (you can object at any time — see section 8).

Under UK GDPR, you have the following rights regarding your personal information:
- Right of access: Request a copy of the personal data we hold about you
- Right to rectification: Request correction of inaccurate or incomplete personal data

- Right to data portability: Request your data in a structured, commonly used, machine-readable format
- Right to object: Object to processing based on legitimate interests
- Right to withdraw consent: Where we process data based on your consent (such as cookie-based analytics), you can withdraw that consent at any time using the manage cookie preferences option in section 7 or the site footer

10. Data security
We implement appropriate technical and organisational security measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. This includes encryption of data in transit, secure authentication systems, and regular security assessments. Payment card and bank details are handled entirely by Stripe and never touch our servers.
No method of electronic transmission or storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security.
11. Children's privacy
Letter Jobs is not intended for users under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a person under 18, please contact us at info@letterjobs.com and we will promptly delete it.

Our platform may contain links to third-party websites. We are not responsible for the privacy practices of these websites and encourage you to review their privacy policies.
